Refund & Cancellations Policy

At South Asia Traveler, we understand that travel plans can sometimes change. This policy outlines our cancellation and refund terms, designed to be fair and transparent for all clients.

1.1 Cancellation Charges

If you need to cancel your booking, the following charges apply based on the number of days prior to your departure date:

100% of Total Booking Cost

Cancellation notices must be submitted in writing via email to our official contact address. The date of receipt of the written notice will be used to determine the applicable cancellation tier.

1.2 Non-Refundable Fees & Deposits

A deposit of 20% of the total booking cost is required to confirm all reservations. Please note:

  • Deposits may be partially or fully non-refundable depending on the terms of selected hotels and service providers.
  • Bank charges, transaction fees and payment gateway charges are non-refundable in all circumstances.
  • Certain hotels, peak-season bookings or promotional rates may be fully non-refundable from the time of confirmation.
  • Services booked under special offers or discounted rates may carry stricter cancellation conditions.
  • Clients will be clearly informed of any non-refundable components at the time of booking confirmation.

1.3 Partial Refunds

Partial refunds are available under specific circumstances:

  • Cancellations made 16–29 days prior to departure qualify for a 50% refund of the total booking cost.
  • Refund amounts and processing timelines may vary depending on the individual policies of third-party service providers.
  • Refund percentages are calculated based on the total booking value, after deducting any non-refundable components such as specific hotel deposits, permits or special services.

1.4 No Refund Circumstances

No refund will be issued in the following situations:

  • Failure to arrive for the tour (No-show).
  • Voluntary withdrawal from the tour during the trip.
  • Cancellation due to Force Majeure events beyond the control of South Asia Traveler (including but not limited to natural disasters, pandemics, government restrictions, civil unrest or extreme weather conditions).

1.5 Rescheduling

We offer the option to reschedule your booking, subject to availability and the following conditions:

  • A rescheduling fee of USD 100 applies for each reschedule request.
  • Rescheduling is subject to availability and may not be possible for certain third-party services.
  • Rescheduling requests must be submitted in writing to our official contact address.
