Terms & Conditions

Please read these Terms & Conditions carefully before using our services. By making a booking or using any service provided by South Asia Traveler, you agree to be bound by the following terms.

2.1 Scope of Services

These Terms & Conditions apply to all services and products provided by South Asia Traveler, including but not limited to:

  • Tour packages and customized itineraries.
  • Hotel and accommodation bookings.
  • Transportation services (including vehicles with drivers and transfers).
  • Guided tours and excursions.
  • Any additional travel-related services arranged upon request.

 

Certain services may be provided by third-party suppliers (including hotels, transport providers and activity operators). Such services are also subject to the respective terms and conditions of those third parties.

2.2 Eligibility & Traveler Requirements

The services provided by South Asia Traveler are available to individuals subject to the following eligibility conditions:

  • All travelers must be legally permitted to enter and travel within Sri Lanka, including possession of valid passports, visas and any required travel documentation. It is the client’s sole responsibility to ensure all travel documents are in order.
  • Minors (persons under 18 years of age) must be accompanied at all times by a parent or legal guardian, who shall assume full responsibility for their supervision, conduct and welfare.
  • Certain services, activities, and excursions (including adventure activities, safaris, and physically demanding experiences) may be subject to age, health, fitness or safety restrictions. South Asia Traveler reserves the right to refuse participation where it reasonably considers that participation may pose a risk to the individual or others.
  • It is the responsibility of each client to disclose any medical conditions, disabilities, or other relevant circumstances that may affect their ability to participate in services before booking.
  • South Asia Traveler reserves the right, at its sole discretion, to decline or modify services where necessary for safety, operational or legal compliance reasons.

2.3 Accuracy of Information & Availability

We are committed to providing a smooth and enjoyable travel experience. The following points are shared for your understanding:

  • We make every effort to ensure all information, including itineraries, pricing, descriptions and availability, is accurate and up to date at the time of sharing. However, as details may change, minor adjustments may be made.
  • All services, including accommodation, transportation and activities, are subject to availability at the time of booking. If any service becomes unavailable, we will always endeavour to arrange a suitable alternative of a similar standard.
  • Travel experiences can sometimes be influenced by factors beyond our control, such as weather conditions, traffic, local regulations or third-party service providers. In such situations, we will do our utmost to minimise inconvenience and keep your journey running smoothly.
  • While we carefully select our partners, certain elements are managed by third-party providers. We will always support and assist you wherever possible, but some situations may fall outside our direct control.

2.4 Client Conduct & Obligations

To ensure a safe, enjoyable and respectful experience for everyone, all clients are expected to:

  • Behave in a respectful, considerate and responsible manner when interacting with fellow travelers, our team and our trusted partners at all times.
  • Respect and follow all applicable local laws, regulations, and cultural customs in Sri Lanka.
  • Follow all guidance and instructions provided by our guides, drivers and activity operators for your safety and well-being.
  • Ensure they are physically able to participate in selected activities and inform us in advance of any medical conditions or special requirements.
  • In rare cases where behaviour is unsafe, unlawful or disruptive, South Asia Traveler may need to discontinue services. We will always aim to handle such situations with care and fairness and no refund will be due in such circumstances.

2.5 Limitation of Liability

We are dedicated to providing a smooth and enjoyable travel experience. To ensure clarity, please note the following:

  • Where permitted by law, South Asia Traveler cannot be held responsible for any loss, damage, injury, delay or inconvenience that may arise during your journey, except in situations where liability cannot legally be excluded.
  • As we work with carefully selected third-party partners (such as hotels, transport providers and activity operators), we act as a coordinator of your travel arrangements. While we choose our partners with care, we are not directly responsible for their individual actions or service delivery.
  • We are not liable for indirect or consequential circumstances, such as missed connections or changes to travel plans due to factors outside our control. That said, we will always do our very best to assist you and minimise any disruption.

2.6 Indemnity

To help us maintain a safe and smooth experience for all clients:

  • Clients agree to take responsibility for their actions during the trip and to comply with these Terms & Conditions.
  • This includes complying with local laws, using services appropriately and acting with care and consideration throughout the journey.
  • In the unlikely event of any claims or issues arising from a client’s actions, the client agrees to indemnify and hold South Asia Traveler harmless accordingly.

2.7 Dispute Resolution

We always aim to resolve any concerns quickly and fairly:

  • If any issue arises, we encourage open communication so that we can work together to find a friendly and satisfactory solution. Please contact us as soon as possible so we can address the matter promptly.
  • If a resolution cannot be reached through discussion, the matter will be handled in accordance with the laws and courts of Sri Lanka, unless consumer protection laws in your home country require otherwise.

 

2.8 Modifications to Terms

South Asia Traveler reserves the right to update or modify these Terms & Conditions at any time. Clients will be notified of material changes via our website or by direct communication, where applicable. Continued use of our services following any update constitutes acceptance of the revised terms.
